Start with the handoff, not the automation
A form submission is not always a new prospect. It may be a duplicate, a customer request, or an incomplete record. Map what happens between the source and the CRM before choosing an integration.
- Identify the source of truth for contacts and companies.
- Define the key used to find an existing record.
- Choose a fallback owner when the normal assignment rule fails.
Build a small, reversible pilot
Use synthetic records to try a new contact, an existing contact, a missing email, and a repeated submission. Initially create a review task rather than sending a customer-facing message. Compare the source record with the CRM result after each run.
Make failures visible
A workflow can partially succeed: the contact exists, but assignment fails. Define which steps can be retried and which would duplicate a record. Agree who checks the failure queue and how quickly they respond.
What would justify a new tool?
Consider a workflow platform when your existing form and CRM cannot provide the required routing, transformations, or recovery. If the native connection already covers those needs, another subscription can add maintenance without a useful gain.
