Begin with a real communication gap
List where prospective customers call or text today, how often a person answers, and which requests become unowned. Separate sales inquiries, current-customer support, spam, and urgent exceptions. Count active handling and callback time before considering a new phone system.
Give every entry a destination
Draw the same route for business hours, a busy team, holidays, and an unavailable teammate. For each branch, record the greeting, first destination, timeout, fallback, and person who checks the resulting queue. Avoid promising immediate help if no one is on shift.
Create one follow-up contract
For a genuine inquiry, capture the minimum context needed to act: caller identity where known, reason for contact, preferred reply channel, time received, and next owner. A message or AI summary is a draft until a person confirms its meaning. Keep sensitive details out of broad notifications.
Test the partial handoff
A call can be answered but the CRM update can fail; a missed call can be logged twice; two teammates can both reply. Test these cases with synthetic contacts and define who resolves the exception. The successful outcome is an accepted next action, not merely a call record.
Compare the existing route with a pilot
Try a manual shared log and your current provider’s available routing before changing numbers. Quo, Aircall, and Nextiva are different options to investigate if the measured gap remains. Check country, number availability, SMS eligibility, recording controls, integration entitlement, and total cost for your actual location.
A phone lead is handled when the right person owns the next action and can see the needed context.
