Define the output after the meeting
Fireflies documents meeting records with transcripts, summaries, action items, and export options. Decide which output your team actually needs. A searchable transcript and an approved action list solve different problems, and neither is useful if the receiving team cannot act on it.
Set the recording boundary
Choose a permitted recurring meeting and confirm participant expectations, organizational rules, and the recording scope before the trial. Exclude meetings that should not be recorded. Test how the assistant joins, when it stops, and how an operator handles an accidental or incomplete recording.
Inspect sharing before inviting others
Fireflies provides meeting recap privacy controls. Verify the default and the individual meeting setting, including who can open the transcript, summary, and recording. Test access using an appropriate second account rather than assuming that a meeting invite establishes the right sharing scope.
Compare the draft with the evidence
Have an attendee check names, numbers, negation, decisions, owners, and dates against the permitted source. Mark uncertain statements for clarification. Measure correction minutes, not simply how quickly a summary appears.

Test the task handoff separately
Start by transferring reviewed actions manually into the task system. If a connector is justified later, verify the exact destination, fields, and repeat behavior. Fireflies and a task manager may be complementary; the presence of notes does not establish a working task integration.
Include the cost of reviewing and storing
Confirm current recording, storage, export, and team-access entitlements. Add time for corrections, permissions, deleting unneeded records, and following up on unassigned actions. Compare with notes or transcripts already included in your meeting platform.
Decide from accepted actions
Compare the time to an approved follow-up, missing commitments, incorrect owners, and duplicate tasks over comparable meetings. Stop if people must spend longer repairing notes or if recap access cannot be controlled. Keep a manual notes template as a fallback.
The valuable output is an accurate, appropriately shared follow-up that someone owns.
