01 / Choose one meeting with a known output

Pick a recurring operational meeting with permission to record if recording is part of the pilot. Define the desired output: decisions and accepted actions, not a complete transcript by default. Keep participant expectations and sharing scope explicit.

02 / Record the manual baseline

Time preparation, note-taking effort, correction, and follow-up. Count missing decisions and owner clarifications. Separate the meeting duration from the active work that an assistant might reduce.

03 / Compare available starting points

04 / Review the difficult statements

06 / Include review and sharing costs

Count editing, confirming ownership, access administration, and maintenance. Check current recording, storage, and export entitlements. Compare time to an approved follow-up rather than time to an automatically generated draft.

07 / Keep, narrow, or stop the trial

Retain assistance when it improves the agreed output without creating more correction work. Narrow the scope if one meeting type is useful and another is not. Stop on inappropriate access or repeatedly incorrect commitments, and return to the manual template while the cause is resolved.
