Research is an input, not permission
A verified name or email address may help identify the right company, but it does not settle whether this team should contact that person. Review relevance, source, applicable requirements, suppression history, and the organization’s contact policy before any record enters a campaign.
Give the first message a narrow purpose
Define the segment, the specific business problem, the claim you can support, and the one useful next action. Keep a reviewer between generated copy and sending. A sequence should stop when someone replies, declines, or the record becomes ineligible.
Own replies before automating follow-ups
Name the person who monitors every sending inbox, handles a request to stop, and decides when a real conversation should move to the CRM. Check the handoff after a reply, an absence, a bounce, and a duplicate contact.
Run a small reversible pilot
Compare a manual or current-CRM baseline with one candidate platform on the same approved sample. Measure relevant replies, unwanted messages, correction work, and the time to respond. Stop if the suppression, reply, or record-ownership path fails.
A useful outbound workflow starts with a justified contact and ends with an owned reply, not a larger send count.
