Define one support job

Choose a recurring question type with maintained information and a visible human destination. Keep refunds, account changes, and other consequential decisions outside the first pilot unless separately authorized and controlled. Write the current inbox or helpdesk baseline: who responds, where the answer comes from, and how an exception is escalated. A new chat widget should solve a specific gap in that path.

Separate the candidates’ roles

Tidio documents Lyro alongside flows and live-agent handling. Crisp describes AI assistance and customer-service workflow tools. Respond.io is also worth investigating when multichannel conversation routing is the identified need, but do not assume identical support scope. Check each product’s current plan and exact required channel.

Build a knowledge acceptance set

Use approved policy and procedure material. Include an ordinary question, ambiguous wording, outdated information, an answer absent from the sources, two topics in one message, and a request for a person. Write the acceptable answer or escalation for each case before testing. Keep fictional account details in the test set so the comparison does not require live customer data.

Judge correctness and uncertainty

Compare answers against the approved sources, not how confident or fluent they sound. Check whether the tool invents a policy, ignores a qualification, or supplies an outdated instruction. An unknown answer can be acceptable when it leads to a useful human route. An apparently successful automatic response should fail the test if it gives the wrong next step or a binding promise without authority.

Test takeover while online and offline

Ask for an agent, introduce a sensitive issue, and simulate missing information. Verify what the visitor sees, what enters the human queue, and which transcript and source context the agent receives. Repeat when the team is unavailable. Give a realistic response expectation and a backup route; transferring a conversation to an unstaffed destination is not completed support.

Inspect recurring knowledge work

Change an approved answer and test whether the new version is reflected correctly. Check the source owner, update procedure, access, and retirement of outdated material. Include review of unanswered questions in the maintenance plan. A tool that answers routine questions still requires someone to keep the knowledge current and diagnose patterns of incorrect routing.

Compare plan and total effort

Verify channel support, seats, conversation or AI allowances, knowledge controls, and the required handoff features in the actual subscription. Introductory allowances and recurring quotas may differ. Count preparation, answer review, exception handling, and maintenance alongside license cost. Do not treat conversation counts as resolved cases without evidence that the request was handled correctly.

Select the smallest reliable route

Keep the route that passes knowledge, uncertainty, takeover, and owner tests with manageable workload. Retain the current support queue as a fallback. This is an editorial comparison method and reports no connected-account ranking. Repeat failed cases after changes and pause automation when important requests become harder for staff to find or resolve.

THE PRACTICAL TAKEAWAY

Compare correct answers and successful human takeover on the same cases, with knowledge maintenance included in the cost.
